Procedure to Obtain Beneficial Ownership Information

To apply for Beneficial Ownership information, applicants are required to follow several key steps.

First, the applicant must register and activate an account through the SSM4U portal. Once the account is active, the applicant must complete the relevant application form and obtain confirmation or endorsement from the appropriate department head or authorised party.

The completed application form, together with the official authorisation letter, must then be submitted at Menara SSM@Sentral. If SSM requires additional supporting documents, these must also be attached to complete the application process.

The search is then carried out using the company registration number. Once approved, the Beneficial Ownership information provided will be based on the latest SSM records available on the date the information is issued.

Fee for Beneficial Ownership Information

The fee to obtain Beneficial Ownership information is RM20 for each company searched. This fee is non-refundable, meaning payment will not be returned even if the applicant later decides not to proceed or if the information retrieved does not meet the applicant’s expectations.

Once the application is approved and full payment is received, the Beneficial Ownership information will be provided in PDF format by email. Based on SSM’s guidance, the information will be made available within three working days after payment is received.

Important Compliance Notes

Applications for Beneficial Ownership information are subject to the Personal Data Protection Act 2010 (Act 709). Applicants are responsible for ensuring that the information submitted in the application is accurate and that the information received is used responsibly and lawfully.

If there is any discrepancy between the Beneficial Ownership information received and the information reported, the matter should be raised with SSM’s Corporate Compliance Division within the required timeframe.
